Deposits are nonrefundable and nontransferable, except in the event that the tour is not confirmed. Advance payments (typically 25–50% of the tour cost) and final balance payments (due 120–60 days prior to departure) are nonrefundable and should only be submitted if you are fully committed to participating in the tour. If you are unable to attend, please notify us as soon as possible. Failure to cancel or appear for a scheduled tour remains the responsibility of the participant. Tour itineraries and daily activities may be adjusted due to weather conditions, safety concerns, or other unforeseen circumstances. We are not responsible for personal injury, loss or damage to personal property, travel delays, or events beyond our reasonable control. Travel insurance is strongly recommended to protect your investment.

Deposit & Reservation Policy

A $50 per person deposit serves as your registration fee and reserves your place on the tour. By submitting this deposit, you are confirming your intent to attend. To guarantee your reservation, the $50 deposit must be completed through our WeTravel booking system.

Important Information

  • The deposit is nonrefundable and nontransferable, except in the event that the tour does not receive sufficient registrations to be officially confirmed.
  • If you know you are unable to attend, it is your responsibility to notify us as soon as possible so your reservation may be canceled.
  • If you cancel, the deposit will be retained as a cancellation fee.
  • Submitting a deposit allows us to confidently plan guide services, accommodations, transportation, and other logistical arrangements.
  • Submission of your deposit—or any payment toward your tour balance—through WeTravel constitutes a confirmed booking and acknowledgment of these policies.
  • If the tour does not reach the minimum number of participants required for confirmation, the full $50 deposit will be refunded.

Tour Confirmation

A tour is considered confirmed once the minimum number of participants required to operate—based on the group size listed on the tour page—has been reached. Once a tour is confirmed:

  • Your $50 deposit secures and guarantees your place on the tour.
  • Advance payments and remaining balances become due according to the payment schedule outlined in your WeTravel booking.
  • We may proceed with finalizing accommodations, securing guides, and completing all necessary logistical arrangements.
  • If a tour does not reach the required minimum number of participants, it will not be confirmed. In that case, your full deposit will be refunded, and all registered participants will be notified promptly regarding the tour’s status.

Advance Payment & Payment Schedule

Advance payments—the first installment after the deposit—are typically 25–50% of the total tour fee. Exact payment amounts and due dates will be clearly displayed in your WeTravel booking at the time of registration. Payment Schedule Our standard payment structure is a 50/50 split following the initial deposit. However, guests may request an alternative payment plan by contacting us in writing, subject to approval. For payment schedules that include more than two installments, the following definitions apply:

  • The Advance Payment is defined as 50% of the total tour fee, less the $50 deposit.
  • The Final Balance is defined as the remaining 50% of the tour fee, less the $50 deposit.

Important Information

  • Advance payments are nonrefundable.
  • Advance payments should only be submitted if you are fully committed to participating in the tour.
  • Submission of an advance payment indicates full commitment to your reserved tour.
Please note: Actual payment amounts and due dates vary by tour and will be shown in WeTravel at the time of booking.

Final Payment

The remaining balance of your tour cost must be paid in full between 60 and 120 days before the tour’s start date, depending on the specific tour. Payments are made through our online booking system.

Partial Payments

Guests may make partial payments toward their balance at any time before the final payment deadline.

Important Information

  • All tour balances are non-refundable.
  • Please submit your final payment only if you are fully committed to joining the tour.
  • Completion of the final payment confirms your full commitment and acceptance of all tour terms and conditions.
Note: Final payment deadlines vary by tour and will be clearly shown in your booking confirmation.

Cancellation Policy

All cancellation requests must be submitted in writing, either by email or through our online form. Providing advance notice helps us release tour dates for other guests. Please review the cancellation guidelines below:

Group Tours

For all group tours, we kindly ask that cancellations be submitted between 30 and 120 days prior to the tour start date, depending on the specific tour. No-Shows If no cancellation notice is provided, the booking will be considered a no-show, and any payments or credits related to the missed tour date(s) will be forfeited.

Refunds & Travel Insurance

Deposits A $50 deposit is required to reserve your tour space. Deposits are refundable only if the tour does not become confirmed. Payments & Refunds All advance payments and final tour balances are non-refundable. Depending on the timing of your cancellation, a credit voucher for use on a future tour may be offered at our discretion. Important Notes

  • We strongly recommend purchasing travel insurance to protect against unexpected events, illness, or trip interruptions.
  • Submission of your final tour payment confirms your full commitment to participate in the tour.
  • No refunds or credits will be issued for unused services during the tour, whether missed voluntarily or due to circumstances beyond your control. This includes, but is not limited to, unused accommodations, skipped activities or meals, unvisited park entrance fees, late arrivals, or early departures.

Credit Vouchers

In certain situations, credit vouchers may be offered for future bookings. The issuance of any credit is subject to review and approval. Credit Voucher Terms

  • Credit vouchers are issued at our discretion, based on the cancellation date and the reason for cancellation.
  • Credits may be applied toward any future group tour within two years of the original tour date.
  • Credit vouchers are non-transferable and cannot be exchanged for cash.
  • Credits cannot be combined with promotions or discounts unless explicitly stated.
  • Credit vouchers must be used in full at the time of a new booking; partial use is not permitted.

Grace Periods for Cancellations

The following grace periods may apply to eligible cancellations. All credits are calculated excluding the initial deposit.
  • More than 90 days before the tour start date:
  • Up to 100% credit of eligible payments
  • 60 days before the tour start date:
  • Up to 50% credit of eligible payments
  • Less than 30 days before the tour start date or no-shows:
  • No credit will be issued

Important Information

  • Submission of a deposit, advance payment, or final balance does not guarantee the issuance of a credit voucher.
  • All credit requests must be submitted in writing for consideration.
  • No credits will be issued for unused services during a tour, whether missed voluntarily or due to unforeseen circumstances. This includes, but is not limited to, unused accommodation nights, skipped activities or meals, unvisited park entrance fees, late arrivals, or early departures.
  • We reserve the right to decline credit issuance if a cancellation falls outside the applicable grace periods or does not comply with policy terms.

Itinerary & Activity Changes

All tours are subject to change due to weather conditions, safety concerns, or operational requirements. We reserve the right to adjust itineraries, schedules, activities, or accommodations as necessary, with or without prior notice.

Liability & Force Majeure

We are not responsible for personal injury, loss of personal property, or other incidents that may occur during a tour. Participation in our tours involves inherent risks related to travel, accommodations, and tour activities. All participants are required to review and sign a Release of Liability prior to joining any tour. We are also not liable for cancellations, delays, or itinerary changes resulting from circumstances beyond our control, including but not limited to natural disasters, weather events, political unrest, or government regulations.

Promotions

Promotional codes can be applied once per participant during checkout in WeTravel.

  • Each code may be used only once per participant.
  • Codes have no cash value.
  • Codes are non-transferable. Once a code is redeemed, it cannot be applied to another person, tour, or date.

Group Sizes & Leader Ratio

We maintain small group sizes to ensure a personalized experience and one-on-one attention from our guides and leaders.

Typical Group Sizes

Groups are generally limited to 4–12 participants, depending on the tour and number of guides. The average maximum is 8 participants per tour.

Leader-to-Participant Ratio

We strive to maintain a 1:4 leader-to-participant ratio or better, ensuring each guest receives attentive guidance throughout the tour.

Health & Special Needs

  • We highly recommend full Covid-19 vaccination for participation in all tours ​
  • Do not travel if you feel sick or have had close contact with someone who is or was sick
  • Participants must notify EWBT of any medical conditions, dietary restrictions, or accessibility needs at the time of booking

Pacing & Effort - Tour Ratings

Level 1 – Relaxed

Expectations: Easy walking with frequent breaks and occasional feeder stops. Terrain is mostly flat or gently sloped, with little to no elevation gain. Participants remain close to the vehicle most of the time. Expect 0–5 hours on your feet. Birding may occur in or near the vehicle. Very few extra-early or pre-dawn departures, generally only when necessary to see key species.

Level 2 – Moderate

Expectations: A fair amount of walking with regular breaks to observe birds and some feeder stops. Terrain includes mostly flat areas with minor elevation changes; uneven or rocky paths may occur. Expect 3–8 hours on your feet, with moderate time away from the vehicle. Some extra-early or pre-dawn departures are included.

Level 3 – Active

Expectations: Frequent walking combined with intermittent hiking and fewer feeder stops. Terrain varies with moderate elevation gains and uneven or rocky surfaces. Expect 4–10 hours on your feet, with longer periods away from the vehicle. Frequent extra-early or pre-dawn departures, sometimes including on-the-go breakfasts.

Level 4 – Challenging

Expectations: Brisk walking or hiking at a faster pace, with few or no feeder stops. Terrain is variable with significant elevation gains, rocky surfaces, or slippery footing. Expect 6–12 hours on your feet, with extended periods away from the vehicle. Extra-early or pre-dawn departures are frequent, often with on-the-go breakfasts.

Booking & Enquiries

All tour reservations begin with a booking request form submitted through our website. Submitting a booking request does not automatically confirm your spot on a tour. Once your request is reviewed, we will contact you directly to confirm availability and provide payment instructions.

Deposits

A deposit may be required to reserve your place on a tour. Deposit amounts and due dates will be clearly communicated after your booking request is approved. Deposits are refundable only if the tour is not confirmed by Premier Birding Tours.

Tour Payments

The remaining balance of your tour cost must be paid prior to the tour start date. Exact payment deadlines will be shared with you during the confirmation process. Please submit tour payments only when you are fully committed to attending the tour. All tour balances are non-refundable. Payment of your tour balance confirms your full participation and agreement with these terms.

At this time, wire transfers and third-party online payment platforms are not accepted. All payments are handled directly with Premier Birding Tours after your booking has been confirmed.

Cancellations

All cancellations must be submitted in writing via email or through our website contact form. Providing timely notice allows us to offer spaces to other guests. Group Tours Please notify us of any cancellation at least 120–30 days prior to the tour start date. No Shows Failure to provide cancellation notice will result in forfeiture of all payments and credits for the affected tour dates.

Refunds & Credits

Deposits: Refundable only if the tour is not confirmed. Advance Payments & Tour Balances: Non-refundable. In certain circumstances, credit vouchers may be issued at the discretion of Premier Birding Tours based on:

  • Cancellation timing
  • Reason for cancellation
  • Tour availability
Credits:
  • May be applied to future Premier Birding Tours
  • Are non-transferable
  • Have no cash value
  • Must be used in full at the time of booking

Unused Services

No refunds or credits will be issued for unused services during a tour. This includes, but is not limited to:

  • Missed hotel nights due to late arrival or early departure
  • Skipped meals or activities
  • Opting out of scheduled excursions
  • Park or entrance fees not utilized

Premier Birding Tours is not responsible for personal injury, illness, property loss, or other incidents that may occur during a tour. Participation in our tours involves inherent travel and outdoor risks. All participants assume full responsibility for their participation and may be required to sign a Release of Liability prior to departure. We are not liable for delays or cancellations caused by circumstances beyond our control, including but not limited to:

  • Severe weather
  • Natural disasters
  • Government restrictions
  • Transportation disruptions
